Administration Assistant

Why does this role exist?

As Packsify grows, so does the complexity behind our operations. From managing financial data and tracking partner payments to organizing meetings and supporting legal processes — there’s a lot happening behind the scenes.

That’s why we’re looking for a highly organized, detail-driven Administration Assistant to support our internal teams, ensure data is clean and up to date, and keep workflows moving across Finance, Operations, and Strategy.

This is a cross-functional role that requires consistency, strong communication, and a proactive mindset. You’ll work closely with leadership, team leads, and external partners — keeping key processes on track and supporting decision-making with accurate reports and documentation.

When It’s Done Right

  • Financial statements, payment data, and reporting sheets are accurate and up to date
  • Partner payments and disputes are documented and tracked properly
  • Administrative workflows in ClickUp and Google Sheets run smoothly
  • Quarterly and monthly tasks (e.g., P&L prep, vacation tracking, meetings) are handled reliably
  • External partners and internal leads get the info they need — fast and without follow-up
  • You catch issues early and help improve the systems you work within

What You’ll Actually Do

  • Export, organize, and report financial data daily (statements, deposits, PSC credits)
  • Track supplier transfers, P&L inputs, partner payments, and high-risk transactions
  • Maintain accuracy in disputes, verifications, and processor documentation
  • Coordinate team operations: vacation tracking, team events, external communication
  • Update and maintain ClickUp workflows and Google Sheets (KPI, finance, reporting)
  • Troubleshoot sheet automations and assist with visualizing game/report data
  • Gather and analyze video ads performance (Bitly, partner forms, engagement metrics)
  • Communicate with accountants, external partners, and leadership for reporting and coordination
  • Support NDA tracking, contract updates, and trial period follow-ups

You’re a Strong Fit If…

  • Have 1–2+ years of experience in admin, operations, finance coordination, or similar roles
  • Are highly organized and have strong attention to detail
  • Are confident working with Google Sheets, ClickUp, and documentation tools
  • Can balance recurring daily tasks with monthly responsibilities
  • Communicate clearly and proactively — both internally and with partners
  • Enjoy supporting others, solving small problems, and improving how things are done
  • Can work independently while coordinating with different teams
  • Bonus: You’ve worked with financial data, handled documentation, or supported international teams
